How to set up a shared WhatsApp inbox for your team

A shared WhatsApp inbox fixes a common problem: your sales team or branches use their own WhatsApp numbers, so managers cannot see who replied, what was promised or which enquiries were never followed up. Here is how Malaysian companies set one up.

Short answerConnect one or more company-owned WhatsApp Business numbers to a shared team inbox on the official WhatsApp Business Platform. Every chat lands in one place, each conversation is assigned to a person or branch, and managers can see every message, reply time and enquiry still waiting for an answer.

Why personal WhatsApp numbers cost you customers

In Malaysia, most buyers prefer to enquire on WhatsApp. When each salesperson or outlet uses a personal phone, the conversation belongs to that phone, not to your company.

The result is predictable: replies depend on who is on duty, quotes are sent and never chased, and when a staff member leaves, their customer history leaves with them. Head office has no way to see response times or lost enquiries.

What a shared WhatsApp inbox actually is

A shared inbox connects one or more company WhatsApp Business numbers to a team tool. Every chat arrives in one place. Each conversation is assigned to a person or a branch, and managers can see every message, who is handling it and what is still waiting for a reply.

It runs on the official WhatsApp Business Platform through an approved provider, so your company owns the number and the chat history, and you stay within WhatsApp’s rules for business messaging.

A shared WhatsApp inbox for one team or many branches

A single sales team usually needs one number with round-robin assignment and tags for each stage: new, quoted, follow-up, won, lost.

Retail chains and multi-branch companies often prefer one number per outlet, all inside the same inbox. Each branch handles its own customers, while head office sees everything and can step in when a reply is late.

What to automate first in your shared inbox

Start with three things: an instant auto-reply so the customer knows you have the message, an alert to the right person when a new enquiry arrives, and a reminder when a conversation has been waiting too long.

Then add follow-ups after a quote, connect the inbox to your CRM so every lead is tracked from first message to signed deal, and report on response time by person and branch.

How long it takes

A focused setup, with one or two numbers, assignment rules, auto-replies and a simple pipeline, usually takes two to four weeks, including approving the business number and training the team. Larger roll-outs across many outlets take longer.

A quick self-check

  • Every enquiry lands in one company-owned inbox
  • Each chat has an owner and a status
  • Customers get an instant first reply
  • Managers see response times by person and branch
  • Quotes are followed up automatically

(FAQ)

Common questions

Can we keep using the WhatsApp Business app on our phones?

The free WhatsApp Business app links to a few devices, which suits very small teams. For a whole team or several branches on one number with assignment and reporting, you need the WhatsApp Business Platform through an approved provider.

Do we lose our existing chat history?

Moving a number to the Business Platform starts a new history in the shared inbox. Plan the switch-over and export anything important from the old phones first.

Which tool should we use?

It depends on your team size, whether you need a full CRM and your budget. We recommend after reviewing how your team sells. We work with HubSpot, GoHighLevel and custom n8n workflows.

What does it cost with Convyra?

Shared inbox and lead automation are part of our Automate plan at RM3,500 a month, which also includes branding and digital marketing, with no minimum term. WhatsApp platform message fees are paid separately.
